Terms & Conditions Welcome to Dentistry on the Grove.

Our aim is simple: to provide exceptional dentistry that supports your long-term oral health and gives you a smile you can enjoy for years to come. We believe the best results come from strong relationships, clear communication and mutual respect.

These Terms & Conditions explain how we work and what you can expect from us, as well as what we ask from you to help us provide the highest standard of care.

  1. Medical History

Your safety is always our highest priority.

Before providing treatment, we ask you to complete a full medical history and to keep us informed of any changes to your health, medications or personal details. Your medical history helps us recommend treatment that is safe and appropriate for you.

All personal information is handled confidentially and in accordance with our Privacy Policy and UK data protection legislation.

  1. Photographs, Scans and X-rays

High-quality dentistry begins with accurate diagnosis.

As part of your assessment, we may recommend digital X-rays, intraoral scans and clinical photographs. These records help us diagnose problems accurately, plan treatment carefully and monitor your oral health over time.

We believe in providing long-term solutions rather than quick fixes, and these records form an important part of delivering the best possible care.

  1. Treatment Plans and Fees

Following your examination, we will discuss our findings and provide a personalised treatment plan together with an estimate of the associated fees.

Treatment estimates remain valid for three months.

For more complex treatment, it may not always be possible to provide an exact cost for every stage from the outset. If your treatment plan changes, we will explain why, discuss any financial implications and obtain your agreement before proceeding.

  1. Payment

Payment is due at the completion of each stage of treatment unless alternative arrangements have been agreed in advance.

For many treatment appointments we require a booking deposit, usually around 30% of the treatment fee. This deposit is deducted from the overall cost of your treatment.

We also offer patient finance, subject to eligibility, which can be arranged before treatment begins.

  1. Consent

We are committed to ensuring that you fully understand your treatment options before making any decisions.

Our clinicians will explain the proposed treatment, its benefits, potential risks, alternatives and likely outcomes before asking for your consent. Consent may be provided in writing, digitally via our Clinipad system or verbally where appropriate.

By attending your appointment and proceeding with treatment, you are confirming your agreement to the treatment discussed.

You may withdraw your consent at any time by speaking to a member of our team or emailing hello@dentistryonthegrove.uk. If you decide not to proceed with recommended treatment, we will explain any potential risks of delaying or declining care and will document your decision in your clinical records.

  1. Membership Plan

We encourage patients to join our membership plan, which helps spread the cost of routine dental care throughout the year while providing discounts on selected treatments.

Our membership plan is administered by Denplan. To qualify for membership discounts, patients must remain enrolled for a minimum of 12 months.

  1. Clinical Records

We maintain comprehensive clinical records, including examination notes, X-rays, scans and clinical photographs, to support your ongoing care.

These records remain the property of Dentistry on the Grove.

You may request copies of your records in accordance with our Privacy Policy and applicable legislation.

Clinical photographs will never be used for marketing purposes without your separate, explicit consent.

  1. Appointments

Appointments are made with your agreement, either in person, by telephone, by email or through our online booking system.

As a courtesy, we send appointment reminders by email and SMS where possible. However, not receiving a reminder does not cancel or alter your appointment, and we kindly ask that you keep a note of your appointment date and time.

  1. Booking Deposits

A booking deposit is required for treatment and hygiene appointments.

Your deposit is fully refundable or transferable provided you give at least 2 working days’ notice if you need to cancel or rearrange your appointment.

This allows us the opportunity to offer your appointment to another patient.

  1. Cancelling or Rearranging Appointments

We understand that plans sometimes change and will always do our best to accommodate requests to rearrange appointments.

If you provide at least 2 working days’ notice, your booking deposit will be transferred to your new appointment or refunded if appropriate.

If less than 2 working days’ notice is given, or if you fail to attend your appointment, we reserve the right to retain your booking deposit to help cover the costs associated with the reserved clinical time.

  1. Arriving Late

We understand that unexpected delays can happen.

If you are running late, please contact us as soon as possible. We will do our best to accommodate you while minimising disruption to other patients.

However, if you arrive too late for us to provide treatment safely and effectively within the time allocated, we may need to rearrange your appointment. In these circumstances, the appointment may be treated as a late cancellation under our cancellation policy.

  1. Feedback and Complaints

We are always looking for ways to improve and value your feedback.

If you have comments about your experience, we would be delighted to hear from you, whether in person, by telephone, email or letter.

If you are unhappy with any aspect of your care, please let us know as soon as possible so we can work with you to resolve the matter promptly. A copy of our Complaints Policy is available on request.
